LEASING AGENT / RESIDENT EXPERIENCE SPECIALIST
Position Summary
The Summers Real Estate is seeking professional Leasing Agents and Resident Experience Specialists for apartment communities in Jacksonville, Orlando, Tallahassee, and Gainesville.
The Leasing Agent is responsible for guiding prospective residents from initial inquiry through application, approval, move-in, renewal, and ongoing residency.
The position requires more than opening model units and processing applications. The Leasing Agent must understand the community, available apartments, rents, fees, lease terms, qualification standards, maintenance commitments, neighborhood, and resident experience.
The successful candidate will communicate accurately, follow up consistently, maintain complete records, and treat every applicant and resident professionally.
Leasing performance must never be achieved through inaccurate availability, unauthorized concessions, inconsistent screening, undisclosed fees, or promises that the property team cannot fulfill.
Primary Responsibilities — Prospect Communication
- ●Respond promptly to telephone, email, website, text, and walk-in inquiries.
- ●Ask appropriate questions regarding apartment size, desired move date, budget, household needs, pets, and other relevant criteria.
- ●Provide accurate information regarding availability, rents, deposits, fees, lease terms, amenities, qualification standards, and application procedures.
- ●Enter prospect information accurately into the leasing system.
- ●Schedule tours.
- ●Maintain consistent follow-up until the prospect leases, selects another community, or asks not to be contacted.
- ●Document all material prospect communication.
- ●Use approved scripts, disclosures, and marketing materials.
- ●Do not provide inaccurate or speculative information.
- ●Do not promise unit features, move-in dates, repairs, concessions, or lease terms that have not been approved.
Primary Responsibilities — Property Tours
- ●Maintain professional knowledge of the community, units, amenities, policies, transportation, employment access, and neighborhood features.
- ●Prepare the leasing office, model, vacant units, and tour route before appointments.
- ●Confirm that show units are clean, safe, accessible, and accurately represented.
- ●Conduct personalized property tours.
- ●Explain the community’s resident-service and maintenance standards.
- ●Identify the prospect’s actual decision factors.
- ●Ask for the application or appropriate next step.
- ●Follow up after the tour.
- ●Report property-condition or presentation problems immediately.
- ●Maintain security and key-control procedures during tours.
Primary Responsibilities — Applications and Screening
- ●Explain application procedures and qualification standards accurately.
- ●Receive applications and supporting documentation.
- ●Confirm that applications are complete before processing.
- ●Process applications through approved screening systems.
- ●Maintain consistent screening practices.
- ●Protect applicant information.
- ●Escalate screening exceptions rather than making unauthorized decisions.
- ●Communicate approval, conditional approval, denial, or additional requirements using approved procedures.
- ●Coordinate deposits and required payments.
- ●Track pending applications and deadlines.
- ●Prevent apartments from being held without required approvals or funds.
- ●Maintain accurate application records.
Primary Responsibilities — Lease Preparation and Move-In
- ●Prepare leases and addenda using approved forms and terms.
- ●Verify resident names, apartment number, rent, fees, deposits, concessions, dates, pets, vehicles, utilities, and other material terms.
- ●Review lease documents with residents in understandable language.
- ●Ensure that all required signatures, payments, insurance information, utility confirmations, and documents are received.
- ●Coordinate apartment readiness with the Property Manager and maintenance team.
- ●Conduct or support pre-move-in inspection.
- ●Prepare keys, access devices, parking information, community rules, and move-in materials.
- ●Welcome residents professionally.
- ●Document unresolved move-in concerns and ensure follow-up.
- ●Never allow occupancy before required approvals and documents are complete.
Primary Responsibilities — Renewals and Resident Retention
- ●Maintain a current lease-expiration schedule.
- ●Coordinate renewal communications according to company timelines.
- ●Contact residents regarding renewal options.
- ●Explain approved renewal terms accurately.
- ●Identify resident concerns that could affect renewal.
- ●Coordinate service recovery with property management.
- ●Track renewal offers, responses, notices, transfers, and expirations.
- ●Maintain accurate renewal records.
- ●Avoid unauthorized rent negotiation or concessions.
- ●Support resident-retention activities.
- ●Conduct follow-up after renewal.
Primary Responsibilities — Resident Service
- ●Greet residents and visitors professionally.
- ●Receive maintenance requests and enter them accurately.
- ●Identify emergencies and escalate them immediately.
- ●Avoid attempting to diagnose technical problems beyond the position’s training.
- ●Assist residents with portal access, payments, documents, packages, amenities, and general community questions.
- ●Document complaints and refer them to the appropriate team member.
- ●Follow up on unresolved issues.
- ●Protect resident privacy.
- ●Treat residents consistently and respectfully.
- ●Maintain a calm and professional approach during difficult conversations.
Primary Responsibilities — Marketing and Outreach
- ●Maintain accurate online listings.
- ●Review photographs, descriptions, rents, availability, and contact information.
- ●Support social media, approved digital marketing, locator relationships, employer outreach, university outreach, and community marketing.
- ●Track lead sources.
- ●Maintain marketing materials and signage.
- ●Participate in approved resident and prospect events.
- ●Develop local market knowledge.
- ●Monitor competitor properties.
- ●Report pricing, concessions, traffic, and product observations.
- ●Avoid unauthorized advertising or use of resident information.
Primary Responsibilities — Administrative Responsibilities
- ●Maintain organized leasing files.
- ●Prepare daily traffic and leasing reports.
- ●Track appointments, tours, applications, approvals, leases, move-ins, cancellations, and notices.
- ●Assist with resident-account and document questions.
- ●Process payments only through approved systems.
- ●Maintain key and access-device controls.
- ●Support property inspections and unit-status verification.
- ●Assist with office opening and closing procedures.
- ●Maintain a clean and professional leasing office.
- ●Support property-management personnel as reasonably assigned.
Primary Responsibilities — Compliance
- ●Follow all applicable fair housing, privacy, screening, lease, advertising, and resident-communication requirements.
- ●Complete required training.
- ●Apply policies consistently.
- ●Avoid steering, discriminatory statements, unauthorized preferences, or inconsistent qualification information.
- ●Refer requests for reasonable accommodation or modification according to company procedure.
- ●Report allegations of discrimination, harassment, retaliation, fraud, or misconduct.
- ●Maintain complete records of leasing decisions.
- ●Do not provide legal advice.
- ●Escalate unusual applicant or resident situations.
Required Qualifications
- ●At least one year of leasing, sales, hospitality, customer service, apartment operations, hotel, retail, or related experience.
- ●Strong verbal and written communication.
- ●Professional appearance and conduct.
- ●Consistent follow-up and organizational ability.
- ●Ability to discuss pricing and ask for the lease.
- ●Ability to learn leasing software and property procedures.
- ●Ability to handle confidential applicant and resident information.
- ●Ability to work some evenings or weekends according to property needs.
- ●Ability to tour apartment homes and property grounds.
- ●Valid driver’s license when required for assigned duties.
- ●Any real estate license required by Florida law for the activities assigned to the position.
Preferred Qualifications
- ●Previous multifamily leasing experience.
- ●Demonstrated leasing and conversion performance.
- ●Active Florida real estate license.
- ●National Apartment Leasing Professional or Certified Apartment Leasing Professional credential.
- ●Experience with Yardi, RealPage, Entrata, AppFolio, or comparable leasing systems.
- ●Experience with CRM-based prospect follow-up.
- ●Experience in Jacksonville, Orlando, Tallahassee, or Gainesville.
- ●Bilingual English and Spanish communication ability.
- ●Experience with university, workforce, or conventional apartment communities.
Measures of Success
Success will be measured by lead-response time; appointment and tour volume; tour-to-application conversion; application-to-lease conversion; follow-up consistency; move-in accuracy; renewal conversion; resident feedback; file accuracy; marketing accuracy; fair and consistent application of leasing policies; and contribution to occupancy without excessive concessions.
